Frequently asked Questions

VoxSun Telecom offers you a “cloud” based system, this means that our lines are virtual. In other words, one line at VoxSun is equivalent to 2 lines from most telecom operators. With VoxSun telecom’s BOOST System, we guarantee you up to 2 simultaneous calls per line in case you experience an increase in the volume of your calls. You can therefore have 2 outgoing calls or one outgoing call + one incoming call per line. VoxSun knows that you need to be constantly connected, and to get you the best price, we provide you with the “BOOST”, that multiplies the capacity of your lines for free and is automatically based on your current needs. Most operators will charge you one line per user, therefore one line per extension, but this method of invoicing and resourcing is not suitable for today's businesses. That's why VoxSun allows you to subscribe to lines on one side and extensions on the other side to best meet your true needs and a better rate and more flexibility. The cost of the system is made up of 2 parts: A- The monthly service: Unlimited Canada and US line at $29.99 each Each extension at 4.99 each E911 Service at $1.99 For example: A total of 5 lines will cost you 5 x $29.99 = $149.95 + 20 extensions x $4.99 = $99.8 + 1 E911 service x $1.99 = $249.75 + government taxes B- The equipment: Please note that if your telephone devices are compatible with the VoxSun system you will only need the VoxSun router and the reconfiguration service. Here is the list of compatible phones: Telephone sets: Using the same example, you would need 20 Yealink phones... 20 T41S x $139.99 = 2799.98 + 1 router x $99.99 + 1 system setup for $99.99 = $2999.78 Here is the list of all our devices: VoxSun hardware is under warranty and of course financing solutions are available for purchases over $2,000. VoxSun knows that you need to be constantly connected, and to get you the best price, we provide you with the “BOOST”, that multiplies the capacity of your lines for free and is automatically based on your current needs. It depends on your situation. If you already have a phone system and you already know your current usage and you are not planning to increase or decrease the number of users, I advise you to take the same number of lines and the same number of extensions at VoxSun. Case 1: If you already have 10 lines with your current provider, do not hesitate to get the same number of lines at VoxSun. You will benefit from HD voice and unlimited calls in Canada and the United States, while saving money. Case 2: If you are getting a phone system for the first time, be aware that you will need to evaluate your needs according to a simple rule of 1 line-for-3 user ratio. In other words, you must consider that if you are not a call center in which employees need to be on the phone at all times, your employees will not be on the phone 60 minutes per hour. The 1:3 ratio is therefore a reasonable method of calculating the number of lines you need. Example: If you have 20 employees then you will need 6 to 7 lines. Don't forget that you also need extensions. An extension or extension number is a license on your telephone system that allows you to access or call an extension, for example, extension 200. So, if you have 20 employees and you want each employee to have the ability to receive and make calls, then you will need 20 extensions. In addition, I would like to point out that with VoxSun Telecom's BOOST system, you are guaranteed up to 2 simultaneous calls per line in case your call volume increases. You therefore benefit from up to 2 outgoing calls or one outgoing call + one incoming call per line. VoxSun knows that you need to be constantly connected, and to get you the best price, we provide you with the “BOOST”, that multiplies the capacity of your lines for free and is automatically based on your current needs. First of all, let me explain how our extensions work: An extension is simply the number that you have after a phone number that allows you to connect with other users of the same phone system. Example: The main number of your company would be +1 514-600-0155 and you have 20 phones, therefore 20 users on your phone system. The receptionist would need to know where to direct a call from the main number to the first user. In this case and extension or even a license must be assigned to each user’s telephone. Based on the example above, the automated receptionist could therefore forward calls to each user with extension numbers of your choice, for example callers could dial "102" to speak directly to the user at that extension number. Therefore, if you have 20 users, you will need 20 extensions. Then, you can also have additional virtual extensions that you can assign to employees who are out of the office. These employees would be reachable from the VoxSun phone system in your office, even if they are out of the office. Calls from these employees can be transferred from their extensions to their cell phones or to any external number. Do you want to get a great quote with our latest deal? Cloud telephony, also known as IP telephony, VoIP or hosted IP telephony, uses Internet networks to transmit voice calls. This means that you no longer need a traditional analog copper phone line to make calls. It also means several benefits: 1- Efficiency, because you can have the same telephone system with a single main number with devices from the same telephone system distributed in several physical locations. Ex: 10 phones in Toronto and 20 in Montreal. 2- Unique features such as advanced call transfer, voice recognition and many others, unified communication, call recording, advanced statistics. 3-The financial savings that this technology provides you with is significant, but you must ensure that you have a reliable supplier registered with regulatory agencies. We are also proud to tell you that VoxSun’s first client is still with us and has no contract of engagement. He is loyal because of the high quality of our services. At VoxSun you can pay for your system monthly, but for legal reasons you have to sign an agreement, because the hardware is financed by VoxSun and its partners. Reason 2: Significant discounts have been applied to your monthly bill and because of these discounts, VoxSun cannot make profit off of the services offered to you before a certain period of time. A suspension notice is automatically sent by the system only after 3 unpaid invoices. A check may take up to a week to arrive at the billing department and 3 more days to be processed by an agent. So, it’s important to confirm whether your payment was sent on time. To avoid this situation in the future, we recommend paying by credit card. You can get in touch with our billing department at [email protected] to set this up.

First of all, thank you for being a VoxSun customer and for considering recommending VoxSun services. Yes, absolutely! VoxSun offers you a percentage of the referred client’s invoice amount, credited to your account. For example: If you refer a client with a monthly invoice of $500, you will receive a 5% monthly credit, which is $25 credited to your account for as long as you and the referred client remain VoxSun customers. The percentage may be higher if you become a VoxSun reseller. To refer a client, simply ask the billing department to set up the referral option on your billing account and send all your referrals to [email protected]. Once one of your referrals becomes a customer and their first invoice is paid, the system will automatically apply the credit to your account. VoxSun's digital telephone system doesn't necessarily need a lot of speed, but the Internet connection must be reliable and stable. A faster Internet connection also generally means that your employee's productivity is optimized, so we recommend getting a faster Internet speed whenever possible. With VoxSun's ActivVoice QoS technology, we can also prioritize voice on a slower Internet connection. Our technical support team will be able to help you. Having said that, we recommend the following minimum speeds : For up to 5 users: 15mbit/s download and 10mbit/s upload For up to 10 users: 30mbit/s download and 10mbit/s upload For up to 30 users: 60mbit/s download and 10mbit/s upload For up to 50 users: 100mbit/s download and 20mbit/s upload

At VoxSun, the migration process is performed in several steps to ensure that your business continues operating smoothly and that you don't miss any phone calls : Step 1 : After having opened your account and sorted the billing aspects, a VoxSun technician will call you to discuss and collect information about your current phone system and network. We also determine a cutover date with you for the number port (the process of transferring the phone number or numbers from your old carrier to VoxSun). On this date at around noon, your old phones will stop receiving calls and all of the calls will be directed to your new VoxSun system and phones. Step 2 : Once all of the information is received and collected, we configure your phone system, ship out the required pre-configured hardware and send the phone number porting request to your old carrier with the planned cutover date. Step 3 : Once you receive your pre-configured hardware, you simply need to plug in the devices. This means that your user's desks will have both your old phone and a new VoxSun phone. Our technicians are also available over the phone to assist you or answer any questions that you might have. If you have purchased an on-site installation, a VoxSun technician will be present on-site to plug in the devices for you. Your new VoxSun phones will already be operational at this point for internal and outgoing phone calls, so your users can start testing and getting familiar with the new system. Step 4 : On the cutover date, generally at around noon, calls will stop being sent to your old system and will start being sent to your new VoxSun system. At the end of the day, you can disconnect your old phone system and the migration will be complete.

The technical term for a transfer of a phone number from your current carrier to VoxSun is known as porting. The time to complete a porting request depends mainly on the location of your phone number as well on your current phone carrier. For big cities, such as Montreal or Toronto, a port can be completed generally within a week of receiving all of the correct information. For smaller towns, a porting request can sometimes take two weeks or longer. Regardless of the delay, we will work with you to determine a good date for the numbers to be ported in to ensure that the migration goes smoothly.

All of our phones have a similar user interface so that it's easy to use for everyone. All of our phones have great HD voice quality. The T31P is an entry-level phone to use in places where a phone is required but rarely used (ex : hallways, warehouse aisles, for an employee who rarely uses the phone, etc.) or for budget-constrained uses. However, we do not recommend it for most users, as it only contains 2 speed dial buttons on the side of the screen. It also includes an integrated 100mbit Ethernet switch so that you can use a single Ethernet cable to connect both the phone and computer to the network. The T53 phone is the regular desk model that we recommend for most users. It contains 8 physical buttons (configurable to a total of 21 virtual buttons over 3 pages) on the side of the screen that can be configured as speed dials and HD voice and speakerphone. It also includes an integrated gigabit Ethernet switch so that you can use a single Ethernet cable to connect both the phone and computer to the network. The T54W phone is the model that we recommend for receptionists and anyone else who handles a large call volume. The T54W has a color screen that makes phone numbers and information easier to see when handling many phone calls and also includes 10 physical buttons on the side of the screen (configurable to a total of 27 virtual buttons over 3 pages). It also includes an integrated gigabit (1000mbit) Ethernet switch so that you can use a single Ethernet cable to connect both the phone and computer to the network. The T54W also supports the EXP50 expansion module that adds 3 virtual pages of 20 physical configurable buttons for a total of 60 configurable virtual buttons. The T57W phone is dressed to impress with a stylish design with a 7" color touchscreen and 29 configurable virtual buttons for speed dial. We recommend this model for executives and anyone else who needs to have 29 speed dials all on the same screen. It also includes an integrated gigabit (1000mbit) Ethernet switch so that you can use a single Ethernet cable to connect both the phone and computer to the network. The T57W also supports the EXP50 expansion module that adds 3 virtual pages of 20 physical configurable buttons for a total of 60 configurable virtual buttons. The W73P is a wireless phone that consists of a separate charging cradle for the handset and a transmitter base unit. It's the perfect phone for employees that need to move around a warehouse, the office, or to have a phone in a place that does not have an Ethernet plug. The W73P is also unlike a home wireless phone because you can still perform call transfers and three-way conferencing through its handset and you can even connect up to 10 handsets to the same base and have them function as independent extensions. Finally, the CP920 is a phone designed for the conference room table with excellent speakerphone abilities. It has a three-microphone array to pick up speech from up to 6 meters (20 feet) away. We recommend it for any boardroom or office where speakerphone call quality is crucial

All of our desk phones and wireless phones can be either powered through a traditional wall adaptor (sold separately) or PoE, so a PoE switch is not required. Certain special modules, such as the Algo paging module can only be powered through PoE and will require either a PoE switch or PoE injector.

There are two ways of forwarding calls. You can either configure it on your IP desk phone or from the VoxSun portal as an incoming call rule. The advantage of configuring an incoming call rule is that you could also set it to follow a specific schedule, it ignores calls coming from a queue and it will also keep working even if your desk phone is disconnected or offline. To configure call forwarding on your desk phone: 1. Press on the "Menu" button on the screen. This is the fourth button from the left. (If your phone displays something other than "Menu" at this location, click on the "X" button below the arrows to close the pop-up.) 2. Navigate to "Features,” then "Call Forward" and then to "Always forward". (Note : It's important not to configure any of two other call forward types, as those may conflict with other features on your phone system.) 3. Use the right or left arrows on the phone to switch the "Always Forward" option to "Enabled". 4. Use the down arrow to navigate down to "Forward to" and type in the phone number to which you want the call forwarded to. Please note that you must always add a "1" before the number. So, for example, a forward to 5146000155 should be written as 15146000155 5. Click on "Save" to save and enable call forwarding. Call forwarding is now enabled. Whenever call forwarding is enabled, there will be an arrow at the top of your phone's screen to indicate that a forward is active and your desk phone won't ring. To disable call forwarding: If you are using a T46/T48/T54/T57 phone: You can simply press on the forwarding arrow button on the bottom right of your phone to turn forwarding on and off. When you turn it on, it will use the last phone number that you configured for your forward. For all of our phone models: Follow the same directions, but instead, set the "Always Forward" option to "Disabled". To enable call forwarding through the VoxSun portal: 1. Log in to the VoxSun Portal as an administrator or user. 2. Click on "Extension" on the left sidebar. 3. Click on the blue underlined link of the extension for which you want to enable call forwarding for. 4. Click on the "Incoming call rules" icon 5. Within the call rules, add a new rule with the following parameters: a. Action: Transfer To b. Number(s): Type in the phone number or extension to which you want to transfer the call. This has to be just the number with no spaces, dashes, or other special characters. Ex: 5141234567 c. ring these for: 20 (we recommend 20 seconds to ensure that your cellphone's voicemail is not activated in case you were not able to answer the call) d. Set to "also call" extension. This will ensure that your desk phone also rings at the same time as your cellphone. e. Set to "Follow" other rules when call is not completed. This is required so that the call can go to your VoxSun voicemail when you don't answer the call on your cellphone. f. Leave the other parameters to their default options. 6. Click on the "OK" button to add the rule. 7. We now need to add a second rule to transfer the caller to the voicemail if you do not answer the call on the cellphone. Create a new rule with the following parameters: a. Action: Transfer To b. set to extension “voicemail" c. Leave the other parameters to their default options. 8. Click on the "OK" button to add the rule You have now activated the call forwarding on your extension. If you want to deactivate call forwarding, click on the green checkmark in the rules table on both rules to turn them to red "X" icons. You can then reactivate it by clicking on the red "X" icons of both rules to change them to green checkmarks to activate the forward.

There may be a number of reasons why your phone might be offline. Here are some common situations and the steps to resolve them: If the phone's screen is blank: This usually indicates that the phone does not have power. If your phone is not powered through PoE and you use a traditional wall plug: 1. Ensure that the adaptor is properly plugged into the wall. 2. Unplug the adaptor and plug it back in. 3. Try plugging the adaptor into another outlet. 4. If you have another VoxSun phone of the same model, you can replace the power adaptor with another one to check if the adaptor is defective. Before replacing, make sure that the new power adaptor's voltage is 5V. Using an adaptor with the wrong voltage can permanently damage your phone and will not be covered by the warranty. If your phone is powered through PoE (the power is provided by the network switch): 1. Ensure that the network cable going to your switch/wall socket is plugged into the phone’s "Internet" port and make sure that the cable is fully plugged in until you feel and hear a "click". 2. Try changing the network cable with another known and working network cable, in case the cable is defective. 3. Try plugging the phone into another network port in your router/switch, in case the port is defective. 4. If you are at an office with multiple phones, you can bring your phone to the location of another working phone and plug it in the place of the other phone to check if your network drop is defective. If the situation is still not resolved after these steps, please contact either your local network administrator or VoxSun's technical support. If the phone displays "Network Unavailable" on the screen: This message indicates that the phone does not detect that it is physically connected to a network. Please follow these troubleshooting steps: 1. Ensure that other phones and computers or the network are able to reach the Internet, in case your switch or router is defective. 2. Ensure that the network cable going to your router/switch is plugged into the phone’s "Internet" port and make sure that the cable is fully plugged in until you feel and hear a "click". 3. Ensure that the other end of the cable is properly connected to a switch or router and make sure that the cable is fully plugged in until you feel and hear a "click". Most switches and routers have an LED light corresponding to each port; ensure that the light for this port is on and/or blinking. 4. Try switching the network cable with another known and working network cable, in case the cable is defective. 5. Try plugging the phone into another network port in your router/switch, in case the port is defective. 6. If you are at an office with multiple phones, you can bring your phone to the location of another working phone and plug it in there to check if your network drop is defective. If the situation is still not resolved after these steps, please call your local network administrator or VoxSun's technical support. If the phone displays "Obtaining IP Address" on the screen: This message indicates that, while the phone detects a physical network connection, it was not given an address by the local router. If this is a phone that you recently moved (for example, between two different office addresses or between a home and an office) and this message only appears on a single phone, it's likely that this is due to the phone being configured to use a VLAN. Contact VoxSun's support so that we can investigate and either remove or add the proper VLAN tag to your phone. If this is not the case, follow these steps to troubleshoot: 1. Ensure that other phones and computers in the network are able to reach the Internet, in case your switch or router is defective. 2. Ensure that the network cable going to your router/switch is plugged into the "Internet" port of the phone and make sure that the cable is fully plugged in until you feel and hear a "click". 3. Try changing the network cable with another known and working network cable, in case the cable is defective. 4. Try plugging the phone into another network port in your router/switch, in case the port is defective. 5. If you are at home or a small office, try rebooting the switch and router. 6. If you are at an office with multiple phones, you can bring your phone to the location of another working phone and plug it in there to check if your network drop is defective. If the situation is still not resolved after these steps, please contact either your local network administrator or VoxSun's technical support. If the phone displays "No Service" on the screen: This message indicates that, while the phone detects the local network connection, it is unable to reach your VoxSun phone system in the cloud. Another possibility is that the phone's extension is disabled or was cancelled. Follow these steps to troubleshoot: 1. Ensure that other phones or computers in the network are able to reach the Internet, in case you are experiencing an Internet outage. 2. Reboot the phone that has the "No Service" message on the screen. 3. Reboot your network's router and modem. 4. If you are at an office with multiple phones, you can bring your phone to the location of another working phone and plug it in there to check if your network drop is defective. 5. If you are using a router/firewall other than VoxSun's: ensure that the SIP ALG feature is disabled on your router, the correct ports are open on your firewall and that the NAT UDP timeout is set to 120 seconds or higher. If the situation is still not resolved after these steps, please contact VoxSun's technical support. If you hear a "There is not enough credit to make this call" voice message after dialing a number: If you're dialing an international phone number, this means that your international calling credits have been exhausted. Please contact VoxSun's Billing department to refill your international calling credits. If you're dialing a local extension or local phone number, this means that your account might have been suspended due to a billing issue. Please contact VoxSun's Billing department as soon as possible. You can reach VoxSun Support by calling 514-600-0155 or by emailing [email protected] You can reach VoxSun Billing by calling 514-600-0155 or by emailing [email protected]

While it is currently not possible to get an email each time a phone call is missed, we do have a voicemail to email feature that can email you a recording of the voicemail message that a caller has left you. Generally, callers leave a voicemail when they are unable to reach an extension. You can also access the full-call report from the VoxSun portal by clicking on the "Reports" link on the left sidebar.

Because of the flexibility of our welcome menu (IVR) system, there are many different types of configurations and customization options available. To add a new welcome menu (IVR) or to change your welcome menu, please email [email protected] so that we can help you out.

Yes, one of the advantages of VoxSun being a phone system in the cloud is that you can use your phones anywhere in the world, as long as a high-speed, stable, and unrestricted Internet connection is available. Keep in mind that, unless you have a VoxSun router installed at home, you will not benefit from ActivVoice QoS technology so call quality might vary when there are network transfers happening. If you're using your own router, you will also need to make sure that the SIP ALG function is disabled on it, as most routers enable it by default and this causes stability variations for IP phones.

The username that you use to login to the VoxSun Pro app or your SIP softphone cannot be changed. However, you can change the login username of a user through the VoxSun phone system portal: 1. Log in to the VoxSun Portal with the information provided by your phone system's administrator. 2. From the users table, click on the user for whom you want to change the username. 3. Click on the "Edit User" icon. 4. From this page, you can now modify the username by changing the contents of the text box on the same row as "Username". 5. If you need to modify or create a new password for this user, you can also do that through this page. 6. Click on "OK" to save changes.

VoxSun desk phones are made so that they automatically configure themselves with their extension identity the first time they are powered on. In some cases, or if you're using a non-VoxSun IP desk phone, a more manual configuration or process might be required. Please contact our support department if you have any questions or concerns.

Our wireless phones use a professional version of the DECT protocol that allows them an impressive range. Without any interference or obstructions (such as being outside), our wireless phones have a range of up to 300 meters. Inside and in a typical office setting, the range is up to 50 meters.

A ring group is simply an extension that has call forwarding enabled to one or more phones at the same time. A queue, on the other hand, is a specialized extension that is purposefully designed to dispatch calls to several phones. A queue also has the ability to keep people on hold for a determined amount of time if all phones that are in the queue (referred to as representatives) are busy on other calls. Compared to a ring group, a queue has many advantages: queues provide detailed statistics (holding times, abandonment rate, etc.), queues are smart as to not follow incoming call rules when dispatching calls, representatives in the queue can use a feature code to log in and out of the queue to control if they receive calls or not and queues group the call recordings (if enabled) of all calls underneath a single place. While there are a few rare exceptions, we generally recommend using a queue whenever you want to ring more than one phone at once.

VoxSun's system is flexible and includes three ways to access your voicemail messages remotely. First method: Voicemail to email One of our most beloved features is the ability to receive voicemails that are left on the phone to an email address. As soon as a caller leaves you a voicemail, the phone system will email you the message with the caller's name and phone number in the subject line and their message as an attached audio file. It's a very efficient way to manage and listen to your voicemails from anywhere you can access your emails. If your email address was provided during the configuration of the phone system, this free feature should already be active! If not, please contact [email protected] with your extension number and email address so that we may activate it for you. Second method: Remote access by phone If you have limited access to the Internet or emails, you can access your voicemail remotely through any phone by following these steps: 1. Call your VoxSun system's phone number that is connected to your IVR (greeting menu). 2. Dial the three or four digit extension number of the phone whose voicemail you wish to check. 3. Wait until the voicemail greeting answers and press on the star "*" key during the greeting. 4. You will now be prompted for your password PIN and then you’ll have access to the voicemail system the same way as you would through your phone. Third method: Through the VoxSun Portal If you have access to your user account on the VoxSun phone system portal, you can also access your voicemail through a web browser: 1. Log in to the VoxSun Portal with the information provided by your phone system's administrator. 2. Click on the "Voicemail" icon. 3. You can now see a list of the voicemails and you can listen, download or delete each voicemail from the table.

A temporary greeting message allows you to override the usual unavailable voicemail greeting without erasing it. You can then easily remove the temporary greeting and restore the original unavailable greeting once you're back. You can record a temporary greeting (usually used for when you're away on vacation or an away from the office for an extended period of time) by following these steps: 1. Press on the envelope button on your phone to dial your voicemail or access your voicemail remotely. 2. Key in your voicemail PIN password when prompted. (The default PIN is 1234) 3. Press on the "0" key to enter the advanced options menu. 4. Press on the "4" key to record the temporary greeting. 5. The recording will start after the tone. Once you're done recording your greeting press on "#" to end the recording. 6. You will now need to confirm your recording. Press on "1" to accept your recording. If you wish to re-record, press on "3" and you can also press on "2" to listen to the recording. 7. The temporary message has now been activated. You can hang up the phone or access to another option. Once you're back and want to remove the temporary message, follow these instructions: 1. Press on the envelope button on your phone to dial voicemail or access your voicemail remotely. 2. Type in your voicemail PIN password when prompted. 3. Press on the "0" key to enter the advanced options menu. 4. Press on the "4" key to record the temporary greeting. 5. Press on the "2" key to delete the temporary greeting. 6. The temporary greeting has now been activated. You can hang up the phone or access to another option.

First, you should choose which music you want to play once someone is on hold. You can download our pack of royalty-free music files from the following link: You can also use your own music, but you need to make sure that you have the rights to play the song as music on hold through a phone system. The music sound file has to be in a .wav file format, mono, u-law encoded and at 8000 Hz. The first step is to upload the file to your phone system by the following these steps: 1. Log in to your VoxSun Portal using the PBX administrator account. 2. Click on "Unified Communications" on the left sidebar. 3. Click on the "Sounds" icon. 4. Click on the "Add Sound" icon. 5. Type in a name for the song in the "Name" field and check the "This is music on hold" checkbox. Then, browse for the music sound file in the "Filename" section. 6. Click on the "OK" button to upload the file. 7. If you want to upload more than one song to be randomly selected once a caller is put on hold, simply follow the steps 2 to 6 again. Once the music was uploaded, you will need to apply it to each extension you want the music on hold to play instead of the default one: 1. Click on "Extensions" on the left sidebar. 2. Click on the extension for which you want to change your on hold music. 3. Click on the "Phone Terminal Setup" icon. 4. On the "Default music on hold folder" row, click on the musical note icon to the right of the text field. 5. Click on the folder with two slashes (//) on the left and click on "Dismiss". (The two slashes refer to your own PBX's music on hold while the four slashes refer to VoxSun's default music on hold). 6. Click on the "OK" button at the bottom of the page to save the music on hold selection. 7. Repeat the same steps for each extension for which you want to change the music on hold.

While we encourage using distribution lists on your email server or email provider to dispatch a voicemail to multiple emails, you can add a second email address for voicemail delivery through VoxSun's phone system portal. You can follow the steps below: 1. Log in to your VoxSun Portal as an administrator to your PBX. 2. From the list of users in the table, click on the user for which you want to set up a second email. 3. Click on the "Email Templates" icon. 4. In the "Voicemail message notification" row, click on the checkbox in the "Email address" column and type in the secondary email address in the text field to the right of the checkbox. 5. Click on the OK button to save your changes.

If you do not have permanent call recording enabled on an extension, you can record a call by dialing *1 (star followed by 1) during the phone call. It's important that this combination is dialed after the voice call has started. If you wish, you can also enable permanent call recording on an extension so that all calls to and from the extension will be recorded. You can either ask our support to enable this feature for you, or you can do it yourself via the portal by following these instructions: 1) From the VoxSun phone system portal, click on "Extensions" on the side bar on the left. 2) In the extensions table, find the extension for which you want to enable permanent recording and click on the blue link with its name. 3) Click on the "Phone Terminal Setup" icon. 4) In the "Call Recording" section, click on the button right next to "All calls are recorded" and be sure to set the "Auto delete recordings after _ days" option to 7 days or less. (Your VoxSun account comes with around 200 hours of free recording space, so it's important to ensure that old recordings are deleted with a rotation so that you don't run out of space and recordings stop.) 5) Click on "OK" to save the settings.

Because the caller ID is used to identify your location for calls made to 911 emergency services, it can only be changed by our technical support staff. Please contact our technical support by emailing [email protected] to request your CallerID change and ensure to include as many details as possible.

To configure the buttons on the side of the screen as speed dial buttons, which also allows you to see the status of the extension, follow these steps: 1) Press and hold the button you want to configure until a configuration window opens. 2a) To configure a BLF type button, which allows you to see if the extension is online, configure the following options: Type: BLF Account ID: Line 1 Wording: Write the name you want to give this button. Value: Write "XXXX*" followed by the extension number. For example, to configure a button for extension 101, write XXXX*101 Extension: Leave this field blank. 2b) To configure an auto-dial button for an external number, follow these steps: Type: Speed Dial Account ID: Line 1 Wording: Write down the name you want to give this button Value: The telephone number to dial 3) Press the "Save" button to save the configuration

There are two ways to perform this: If you want to temporarily perform an outgoing anonymous call, simply prefix your dialed phone number with *67. For example: *675146000155 If you want to permanently enable anonymous calls on a given extension, dial *85 Any external numbers that you dial from this point will be called anonymously. To deactivate this function, dial *65 Important: Enabling anonymous calls permanently also means that by dialing 911, the dispatcher will not be able to see your address. Please ensure that users for which you enabled permanent anonymous dialing have an alternative method to reach 911 in case of an emergency.

You can create a port forwarding rule on your VoxSun router by following these steps: 1. Log in to your VoxSun router. For most systems, from the time of payment once we receive the information we need from you, you should expect around a week to two weeks of time for the system to be fully operational. The longest delay will be the porting process (transfer of your phone number(s) from your old provider to VoxSun), which takes a week if everything goes smoothly. The porting delay does not depend on VoxSun and is caused by waiting on your old provider to provide a response. If you are purchasing a new phone number from VoxSun, the new number is assigned in less than an hour so the process is much quicker. The actual phone system configuration is generally done within 24-72 hours of receiving all of the proper information for your system's configuration. If you need your phone system to be operational faster or if it's an urgent migration, let your account manager know and we will do our best to accommodate you and minimize delays (ex: by using call transfers while waiting for a port, predicting where a delay might come from, using a slightly different hardware to speed up shipping, etc.) We have always helped companies in emergencies where they had to be up and running as soon as possible after a natural disaster or old phone system equipment failure.

VoxSun is dedicated to give the best prices and the fastest service to our clients. We also strive to provide low shipping costs. The shipping cost depends on a number of factors such as: the delivery address's location, whether or not the delivery address is in a major city, and the number of warehouses from which the equipment is being shipped. Our sales department or your account manager will be able to provide you with the shipping cost on a given order or quote.

The voicemail on your VoxSun phone actually has four different greeting types: ● An unavailable greeting This is the greeting that will be played if the phone is not answered within a given period of ringing time. ● A busy greeting This greeting is played if you press on the "reject" button on your phone while it is ringing. This greeting is useful when you want your caller to know that you're at your desk, but on another phone call. It's a useful function for salespeople and other types of workers who want to be easily reachable. ● Temporary greeting This greeting overrides the unavailable greeting (without deleting it) and is useful if you need to change your greeting temporarily, such as if you go on vacation. As soon as this greeting is present, it will override your regular greeting. ● Your name This "greeting" should simply contain the pronunciation of your full name. This greeting message is used by the voice recognition system to confirm a name when the pronunciation by the caller isn't clear enough. You can record a greeting by following these steps: 1. Press on the envelope button on your phone to dial your voicemail or access your voicemail remotely. 2. Type in your voicemail PIN password when prompted. (The default PIN is 1234) 3. Press on the "0" key to enter the advanced options menu. 4. You can now choose which greeting you wish to record: a. Press on "1" to record your unavailable greeting b. Press on "2" to record your busy greeting c. Press on "3" to record your name 5. The recording will start after the tone. Once you're done recording your greeting press on "#" to end the recording. 6. You will now need to confirm your recording. Press on "1" to accept your recording. If you wish to re-record, press on "3" and you can also press on "2" to listen to the recording. 7. If you need to record more greetings, simply follow steps 4 through 6 again.

Because we need to pre-configure the hardware before we send it to you, the estimated time for an order to be shipped out of our warehouses is 1 to 3 business days after the payment and proper configuration information is received. In Canada, orders ship out of our Montreal or Toronto warehouses. Once the parcel is with our postal carrier, shipping usually takes 1 to 2 business days for Montreal, Ottawa and Toronto. Areas further away from major cities may have longer transit times. In the United States, our orders ship out from our New York warehouse with similar delivery times for east-coast states.

In Canada, the telecom space is highly regulated and only a few select companies can install their own cabling on utility poles. To provide Internet access to as many clients as possible, both residential and commercial, VoxSun often uses a partner to bring the connection to the "last mile". The connection is then connected directly to VoxSun's network. Your billing and network is still handled by VoxSun to provide you the best service.

One of the reasons why VoxSun is able to offer competitive pricing to our clients is because the phone system is in the Cloud and can be managed remotely. If any adjustment to your phone system is needed, our technicians are able to perform them remotely without needing to be on-site. If there is any hardware component that needs to be adjusted or fixed, our technicians are ready to assist you over the phone. We do have on-site technicians available for cabling. To find the best pricing and solution options, please contact your account manager.
